Privacy Policy
Effective September 28, 2026 (updated to add feedback, the teacher library and usage counts)
Pencilbox is a worksheet maker for early-years teachers. It is operated by NJYN Inc., based in Toronto, Ontario, Canada (“Pencilbox”, “we”, “us”). This policy explains what personal information we collect, why, and the choices you have. We follow Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).
What we collect
Account information
When you create an account we collect your email address, the name you choose to give us, and your password. Passwords are stored in a hashed form by our authentication provider; we never see or store them in readable form.
Your Pencilbox content
To keep your work in sync across devices, we store the worksheets you save, the themes you create, your settings (such as your class name, weekly theme and print preferences) and any pictures you upload.
Feedback you send
If you use Send feedback, we keep your message, your email address, any screenshot or photo you attach, and basic details about your device and the worksheet you were looking at, so we can understand and fix the problem.
Worksheets and themes you share
If you choose to share a worksheet or theme in the teacher library, other signed-in Pencilbox teachers can see it, copy it and use it, along with your first name as the author. Any pictures you uploaded that appear in it are shared with it. You can remove anything you’ve shared at any time.
Usage counts
Pencilbox counts which kinds of worksheets you print, for example “letter tracing, 7 times”, and stores that count with your account. We use it only to understand which worksheets teachers find useful and to improve Pencilbox. We don’t record what you type on your worksheets or who you print them for.
Technical information
Our service providers keep standard technical logs, such as IP addresses, browser type and sign-in times, to keep the service secure and working. We don’t use analytics, advertising or tracking cookies. Pencilbox stores information in your browser’s local storage so the app can work offline and remember you are signed in.
What we don’t collect
Pencilbox is designed so that teachers don’t need to share student information with us.
- The class list you type for name tracing and “one per student” printing is stored only on the device where you type it. It is never uploaded to our servers or synced.
- Please don’t upload photos of students or enter student personal information into worksheets, themes, picture names, feedback or anything you share, because that content is stored with your account and shared content is visible to other teachers.
- Children do not use Pencilbox directly and cannot create accounts. Pencilbox is intended for adults.
How we use your information
- To create and secure your account and let you sign in.
- To store and sync your worksheets, themes, pictures and settings across your devices.
- To send you account emails, such as confirming your email address or resetting your password.
- To respond when you contact us or send feedback.
- To show worksheets and themes you choose to share to other teachers.
- To understand which worksheet types are used most, so we can improve them.
- To tell you about important changes to Pencilbox, including any future paid plans, before they happen.
We don’t sell, rent or trade your personal information, and we don’t use it for advertising.
Who we share it with
We use a small number of service providers to run Pencilbox. They may only use your information to provide their service to us.
- Supabase provides our database and sign-in system. Your account and Pencilbox content are stored in its Canada (Central) region.
- Resend delivers our account emails. Your email address and the email content are processed by Resend, which may happen in the United States.
- Our website host serves the Pencilbox website and app files.
- jsDelivr and Google Fonts deliver code and fonts to your browser, which means they receive your IP address when you load a page.
Some of these providers may process information outside Canada, where it may be subject to the laws of that country, including lawful access by its authorities. We may also disclose information if required by law.
How long we keep it
We keep your account and content for as long as your account is open. If you ask us to delete your account, we delete your account information and synced content within 30 days, except where we need to keep something to meet a legal obligation. Backups held by our providers are overwritten on their normal schedule.
How we protect it
Information is encrypted in transit. Our database rules only allow each signed-in teacher to read and change their own data. No method of storage or transmission is completely secure, but we take reasonable steps to protect your information.
Your choices and rights
- You can see and change most of your information directly in Pencilbox.
- You can ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete your account.
- You can withdraw your consent at any time by deleting your account, although you won’t be able to keep using Pencilbox.
Email us at hello@pencilbox.club and we’ll respond within 30 days. If you’re not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada.
Using Pencilbox for your school
If you use Pencilbox as part of your work for a school or school board, your school may have its own rules about using online tools. Pencilbox does not collect or store student records, but please check your school’s policies before using any online service.
Changes to this policy
If we make meaningful changes, we’ll update the date at the top and let you know by email or in the app before the changes take effect.
